Rainforest Foundation Norway (RFN) is gearing up for COP30 and needs a dedicated event coordinator to plan and execute our 2025 campaign events. You’ll be crucial to ensuring smooth logistics, vendor coordination, and engaging event materials—ultimately helping RFN communicate its mission effectively. The event coordinator will work closely with the Head of Communications and other RFN strategic stakeholders,
Key responsibilities
Event planning and coordination
- Plan, coordinate, and execute all RFN events internationally as well as national, including venue booking, securing permits, and on-site logistics.
- Manage relationships with external vendors and event partners (e.g., catering, technical support).
- Ensure events meet objectives, follow health and safety standards, and run smoothly from setup to wrap-up.
Production of event materials
- Serve as the go-to person for designing and producing print/digital collateral (e.g., brochures, infographics).
- Work closely with an assigned designer, ensuring brand consistency and timely delivery.
- Maintain an overview of what materials are needed for each event, ensuring accurate and timely delivery.
- Coordinate with printers and other suppliers for cost-effective, high-quality production.
Collaboration, budget management, and documentation
- Coordinate with RFN colleagues and external stakeholders, tracking resource use and budget constraints.
- Provide administrative assistance, maintain event documentation (plans, agendas, post-event reports), and regularly participate, and report on event progress in the international communications project group.
- Liaise with the Communications team to integrate key messages and stakeholder considerations.
Monitoring and reporting
- Collect and compile feedback on events to measure impact and foster continuous improvement.
- Document lessons learned to guide future event planning and ensure alignment with COP30 campaign objectives.
Desired skills and qualifications
- Relevant formal education or equivalent experience in event/project management.
- Proven track record in planning and delivering events (national or international).
- Familiarity with budgeting, vendor management, and production of printed/digital materials.
- Background in communications or marketing is a plus.
- Strong organizational skills, solution-oriented, and detail-focused.
- Proficient in project management tools; able to handle multiple tasks and deadlines.
- Excellent communication and interpersonal abilities (English fluency required; Norwegian is an advantage).
